RTC Board Meeting Jan 15, 2018 --- Minutes
President - Bernie Wolf
- Bernie secured approval of December 2017 Board Meeting Minutes
- Bernie welcomed new RTC board members
- Update Ball Machine Clinic --- Sheri Endicott had ten participants at the first Ball Machine Clinic on Jan 12.
Vice President - Carol Pillsbury
Secretary - Les Hoskyns
- Les will complete the 2017 Event History using information provided by Ron Wyman
- Les, Bernie, and Dave will meet to review getting event history content onto the website
Treasurer - Barbara Schwartz
- Barbara presented a new RTC budget format and end of year report
- Barbara still needs invoices for some 2018 social events.
Tournaments - Chris Slee
- We've started recruiting volunteers to direct tournaments among previous directors and wild card participants
- Chris Slee is recruiting members to run 2018 Wild Card tournaments. Trilogy has suggested a format change for our next tournament.
- 4 doubles / 2 mixed / 2 womens
- 6 doubles / 3 mixed / 3 womens
- Board discussed and favors the 4/2/2 option as it would take less time
- Chris will be organizing the Feb wildcard
Information Technology - Chris Slee
- RTC members will be able to log on to the website using a password composed of first name initial followed by the first five letters of the last name.
- RTC members will be able to contact board members through the website. Emails will then be forwarded to board members' personal email.
- RTC board members will have access to all content on the web site.
- Instructions are on the website homepage on how to put a link to our website on a phone or tablet.
- Newsletters a.k.a. email blasts were discussed as follows:
- driven from membership lists
- 2018, Board
- Upcoming: Support for Teams, etc.; automatic forwarding to Rossmoor News
- Online membership information --- 2018 membership information has been imported to the website
- this information drives RTC groups, RTC mailing lists, etc etc
- online membership payments are anticipated in the future
- 2018 Membership Directory --- after discussion, the board decided not to provide the 2018 directory in booklet form. Instead:
- An online directory will be available. Members will be able to access this information by logging onto the website
- A PDF file version of the 2018 Membership Directory (located on the website) which each member can print
- A PDF file version of a directory addendum (located on the website) which each member can print as needed
- Web site enhancements
- Event calendars will be available for all RTC tennis groups
- RTC board members can now add events, submit articles etc
- Ticket system for problems, upgrade ideas etc.

Social - Marian "Cinnamon" Renvall
- Cinnamon reported on this year's upcoming social events
- There will be a 2018 Valentine’s Party on February 14, 2018 at Fireside Room at Gateway
Membership - Larry Fredricks
- Larry reported that the club has 192 members and 35 subscriptions to the ball machine.
Facilities - Bill Van Wagoner
- Bill reported on facilities to include new lock for ball machine locker, processing used balls, clocks, and signage on gates reminding people to close them as they leave?
- Bill presented his facilities report which included:
- a new center net tie-strap on court 5
- concerns about cracks in court surfaces
- replacement of old rollers and squeegees
- member requests for a back board
- low water fountain pressure
- a longer extension cord for the ball machine (board authorized purchase 100 foot cord)
Publicity - Dave Blanchard
- Dave reported on publicity transition function from Ron Wyman and Joan Warner
- Dave, Bernie, and Les will assure that event results get onto the website

New Business
- Discussion of concerns raised in Linda Davis email re making courts available when there is clinic and team match overlap
- Buckeye Court usage on tournament and team play dates was discussed. In order to leave some courts available for individual games, it was decided that teams will use a 4/2 split (four teams start on courts 3-6 and 2 teams start later as courts 1-6 become available) for future tournament or team play when courts 1 and 2 used for clinics.
